The following terms and conditions apply to all registrations applicable to The Electronic Security Expo (“ESX”).  By submitting your registration, you are hereby acknowledging your acceptance of, and agreement to comply with, all such terms and conditions.

Cancellation Policy

ESX registrations are non-refundable. If you are unable to attend, your registration can be transferred to another employee of your company at no additional fee. Please email ESXRegistration@esaweb.org for transfer requests, questions or concerns.

Code of Conduct

We are committed to creating a safe, productive, and welcoming environment that is inclusive and free from discrimination, regardless of race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other protected categories under applicable law.

All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, sponsors, service providers, and all others must abide by the following Code of Conduct:

Expected Behavior

• Be considerate of those around you.
• Be respectful of others and their viewpoints that may be different from your own.
• Be collaborative with others.
• Be mindful of your words and actions.

Unacceptable Behaviors
Certain behaviors are unacceptable, including, but not limited to, the following:

• Offensive or unwanted behavior or language related to, but not limited to, race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other similar categories.
• Visual harassment, such as sexual images OR sexual language including in presentations, PowerPoint etc.
• Sexual harassment of any kind, such as unwelcome sexual advances or words/actions of a sexual nature.
• Wearing attire that includes harmful or offensive language or imagery that is not appropriate for a professional setting.
• Disruption of presentations during sessions or events.
• Abusive action directed at an individual, such as threats, intimidation, or bullying.
• Sharing your ESX registration credentials with any other person(s).
• Making event content available to a competitor of ESX.
• Inappropriate comments or stalking of fellow attendees.

Consequences of Unacceptable Behavior
Unacceptable behavior will not be tolerated and could result in expulsion from ESX and/or any future ESX events. If you are found or reasonably believed to be engaging in unacceptable behavior, ESX may take any action it deems appropriate, up to and including expulsion from ESX without warning or refund. If necessary, local law enforcement may need to become involved.

ESX has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you are the subject of, or witness to any violations, you can contact us by sending an email to ESXRegistration@esaweb.org.

Entering a Booth

By entering an exhibit booth and allowing your badge to be scanned, you are providing the exhibitor with your contact information and opting-in to receive communications from the exhibitor. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications.

Marketplace Access Policy

ESX is designed specifically to help electronic security and life safety integrator/dealer companies build stronger, more profitable organizations, to best deliver on their promise of protecting people, places and property. To accomplish this, ESX delivers the most powerful education platform in the industry for decision makers ready to take their businesses to the next level.

The experience is built on a shared investment:  

• Integrators/dealers invest their time and resources in a focused, business-driven manner – dedicated to learning more, building relationships, and finding solutions to power growth.  

• Exhibitors and sponsors invest their expertise, innovation, and resources to bring those solutions to the integrator and dealer community, share what’s next for the industry, and build meaningful partnerships. 

• ESA invests in developing an experience that draws the top companies in the space to create the ideal environment for idea exchange and channel growth — subsidizing costs to ensure integrators and dealers of all sizes can experience the event. 

ESX brings together hundreds of owners, executives and business leaders from electronic security and life safety integration and dealer companies — individuals who influence or make purchasing decisions for products and services at significant scale. Access to this concentrated audience creates meaningful business value that extends well beyond product demonstrations or transactions occurring in an exhibit booth. Relationships developed through networking, conversations, education, social events and other interactions can create awareness, strengthen existing customer relationships, open future sales opportunities and influence purchasing decisions long after the event concludes. 

Because this commercial opportunity exists based on the organization represented and its relationship to the integrator/dealer marketplace, participation categories are determined by company profile rather than an individual registrant’s stated intent or planned activities at ESX.  

This ESX Marketplace Access Policy ensures that individuals and organizations whose participation provides potential commercial value to the company or organization they represent have a pathway for participation consistent with their role in the ecosystem. 

Our goal is to make those pathways clear, reasonable, and accessible to all who can provide value to the ESX experience. Through fair and consistent application of this ESX Marketplace Access Policy, ESX is committed to preserving the value of exhibitor and sponsor investments, while maintaining the collaborative environment that distinguishes this channel-specific event. 

How to Participate in ESX

ESX welcomes the many organizations from within the pro-installed electronic security and life safety channel. Participants engage with the event, based on company profiles. 

• Manufacturers, service providers, suppliers and other organizations that market or sell products or services to installation and integration companies are a vital part of the ESX Marketplace and event community. These individuals and organizations participate through the appropriate exhibiting and sponsorship opportunities. Standard attendee registration is intended for qualified installation and integration companies and is not an alternative to exhibitor or sponsor participation. 

• Decision makers from integration/dealer companies (leaders of service/install departments, finance and admin departments, sales and marketing teams, executive leadership, general managers, etc.) participate through registration — most choosing ESX for the valuable insights shared in its education program. This profile makes up the primary registrants of ESX. 

• Industry-specific consultants (legal and tax advisors, sales and business advisors, financial partners, brokers, private equity firms, etc.) can participate through exhibiting, sponsorship, and/or an approved non-exhibitor/non-sponsor registration option. 

ESX reserves the right to invalidate any registrations that are inconsistent with these participation guidelines.

Shared Responsibility 

The Marketplace Access Policy is intended to create a fair, welcoming, and sustainable environment for everyone. Misrepresenting your organization affiliation — including registering under a false company name or title to gain access to the event — is a strict violation of this policy and may result in registration cancellation, denial of entry, or removal from the event without refund. 

Our Commitment 

ESX believes broad industry engagement strengthens both the event and the industry. Our objective is to provide industry participants with a clear and appropriate path to engage and ensure that everyone who benefits from the ESX Marketplace contributes appropriately to sustaining it. 

A strong marketplace depends on shared investment, fair access, and responsible engagement by all. If you benefit from the ESX Marketplace, be a part of supporting the marketplace that fuels the success of electronic security and life safety integrators/dealers everywhere. 

Liability

Liability Waiver and Release: In consideration of being allowed to register for and participate in ESX, you hereby represent that you are 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue ESX or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after ESX, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the gross negligence of ESX. This Liability Waiver and Release is binding on your heirs and assigns.

Photography/Video

On occasion, you may be photographed, video-taped, or audio-taped in connection with ESX. By registering to attend ESX, you are granting ESX permission to record your image, voice, comments, and questions during ESX. As a participant in ESX, you agree that ESX is the sole owner of all rights in and to any the resulting photographs, screenshots in the virtual experience platform, video footage and recordings (both now and in the future). Your name and likeness may be used by ESX in advertising and promotional materials. You shall receive no compensation or royalties for appearance in any materials.

Data Privacy

As part of your registration of ESX, ESX may share the data you provide ESX with third party vendors, to make you aware of goods and services you may be interested in, to perform analytics, and in connection with ESX and for such other purposes as ESX may approve from time to time. Your registration may include technology that monitors your activities throughout ESX, such as session attendance and booths visited.

SMS Terms & Conditions (ESX / ESA)

By opting in to receive text messages from the Electronic Security Association (ESA), you agree to receive SMS communications related to your relationship with ESA and ESX, the Electronic Security Expo.

These messages may include:

• Event updates and reminders (including ESX deadlines)
• Customer support and account notifications
• Marketing and promotional messages
• Billing notifications and invoices

Message frequency may vary based on your engagement.

You can opt out at any time by replying STOP to any message. After opting out, you will receive one final confirmation message and will no longer receive SMS communications from ESA.

Content Recording

Participants acknowledge and agree that, to protect the integrity of ESX educational programming and the intellectual property rights of speakers and presenters, recording of any kind is strictly prohibited during all education sessions and Main Stage presentations.

Without prior written consent from ESX management, participants may not:

• Audio record
• Video record
• Photograph slides or presentation materials
• Livestream
• Broadcast, retransmit, or otherwise distribute session content in any format

All session content, including presentations, materials, and discussions, is the intellectual property of ESX and/or its respective speakers and is protected by applicable copyright and intellectual property laws. Violation of this policy may result in immediate removal from ESX, revocation of event credentials without refund, and any other action deemed appropriate by ESX, including potential legal action.

ESX reserves the right to change, amend, add or remove any of these Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions should become invalid, the remaining will continue to be valid and apply. These Terms and Conditions apply to all ESX participants (attendees, speakers, sponsors, exhibitors, etc.). The views expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily those of ESX. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporate presentations, marketing collateral, and/or advertising.
