Terms and Conditions



The following terms and conditions promulgated by Alarm Industry Expo, LLC d/b/a ESX (“ESX”) apply to all registrations applicable to ESX 2023 (“ESX 2023”).  By submitting your registration, you are hereby acknowledging your acceptance of, and agreement to comply with, all such terms and conditions.

Cancellation by Attendee: ESX registrations are non-refundable. If you are unable to attend, your registration can be transferred to another employee of your company at no additional fee. Please email registration@ESXweb.com for transfer requests, questions or concerns.

Code of Conduct: We are committed to creating a safe, productive, and welcoming environment that is inclusive and free from discrimination, regardless of race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other protected categories under applicable law.

All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, sponsors, service providers, and all others must abide by the following Code of Conduct:

Expected Behavior

  • Be considerate of those around you.
  • Be respectful of others and their viewpoints that may be different from your own.
  • Be collaborative with others.
  • Be mindful of your words and actions.

Unacceptable Behaviors

Certain behaviors are unacceptable, including, but not limited to, the following:

  • Offensive or unwanted behavior or language related to, but not limited to, race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other similar categories.
  • Visual harassment, such as sexual images OR sexual language including in presentations, PowerPoint etc.
  • Sexual harassment of any kind, such as unwelcome sexual advances or words/actions of a sexual nature.
  • Wearing attire that includes harmful or offensive language or imagery that is not appropriate for a professional setting.
  • Disruption of presentations during sessions or events.
  • Abusive action directed at an individual, such as threats, intimidation, or bullying.
  • Sharing your ESX 2023 registration credentials with any other person(s).
  • Making event content available to a competitor of ESX.
  • Inappropriate comments or stalking of fellow attendees.

Consequences of Unacceptable Behavior

Unacceptable behavior will not be tolerated and could result in expulsion from ESX 2023 and/or any future ESX events. If you are found or reasonably believed to be engaging in unacceptable behavior, ESX may take any action it deems appropriate, up to and including expulsion from ESX 2023 without warning or refund. If necessary, local law enforcement may need to become involved.

ESX 2023 has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you are the subject of, or witness to any violations, you can contact us by sending an email to registration@ESXweb.com.

Entering Booth

By entering an exhibit booth and allowing your badge to be scanned, you are providing the exhibitor with your contact information and opting-in to receive communications from the exhibitor. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications.

Partner Registrations

I understand that the intent of this registration is for the sole purpose of education and networking with fellow attendees. An intent of doing business with attendees is limited to the companies and company members registered as a part of a sponsorship and/or exhibiting agreement directly with ESX 2023. All partnering companies that are interested in sponsoring or exhibiting with ESX 2023 should please contact Jessica DaCosta at 972.807.6827 | Jessica.dacosta@esaweb.org. I understand that if I am a partnering company and I’m not participating through a partnership agreement, my registration can be revoked without refund.

 

Health and Safety Plan

ESX is committed to creating an experience that connects industry professionals safely. See below for tips on what to expect along with health and safety plans.

Before You Arrive

Please complete a self-assessment to ensure you are feeling symptom-free. If you feel sick, please stay home. You can refer to the CDC’s COVID-19 Self-Checker reference guide for any questions about symptoms.

Check your flight and travel arrangements. See below for health and safety updates from each of the major airline providers.

Check your hotel. See below for health and safety updates from each of the official ESX hotels.

Face coverings while optional are strongly encouraged. Masks will be provided if one is needed.

ESX will have an open line of communication in place with the facility, hotel partners, and local health officials.

At the Event

Before registration opens to our guests, we will conduct inspections to ensure the venue is safe, clean and ready for attendees.

Daily temperature screenings will be conducted upon entry for everyone. Should you have a temperature of 100.4 or higher you will not be allowed access to the event activities unless you can provide proof of recent (within 72 hours) negative COVID test.

Daily disinfecting will take place to sanitize all seating, restrooms and frequently touched public areas.

Kentucky State Requirements/Recommendations
The State of Kentucky does not currently have any COVID-19 restrictions in place. There are no limits on gatherings and although masks are recommended for both vaccinated and unvaccinated individuals, they are not required. Kentucky also prohibits all state and local governments from requiring anyone to get a COVID-19 vaccine. Additionally public entities, as well as private entities receiving public funds, cannot require vaccination proof from customers. Kentucky does not have any limits on gatherings.

Liability Waiver and Release: In consideration of being allowed to register for and participate in ESX2023, you hereby represent that you are 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue ESX or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after ESX2023, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the gross negligence of ESX. This Liability Waiver and Release is binding on your heirs and assigns.

Photography/Video: On occasion, you may be photographed, video-taped, or audio-taped in connection with ESX 2023. By registering to attend ESX 2023, you are granting ESX permission to record your image, voice, comments, and questions during ESX 2023. As a participant in ESX2023, you agree that ESX is the sole owner of all rights in and to any the resulting photographs, screenshots in the virtual experience platform, video footage and recordings (both now and in the future). Your name and likeness may be used by ESX in advertising and promotional materials. You shall receive no compensation or royalties for appearance in any materials.

Data Privacy: As part of your registration of ESX 2023, ESX may share the data you provide ESX with third party vendors, to make you aware of goods and services you may be interested in, to perform analytics, and in connection with ESX 2023 and for such other purposes as ESX may approve from time to time. Your registration may include technology that monitors your activities throughout ESX 2023, such as session attendance and booths visited.

General: ESX reserves the right to change, amend, add or remove any of these Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions should become invalid, the remaining will continue to be valid and apply. These Terms and Conditions apply to all ESX 2023 participants (attendees, speakers, sponsors, exhibitors, etc.). The views expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily those of ESX. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporate presentations, marketing collateral, and/or advertising.
